Item Description

Goods descriptions help customs officials clearly understand the contents of your shipment. Goods descriptions must explain the contents of the goods, their materials, and their intended use (if any). Goods descriptions must be clear and describe all goods shipped.

Uniform Tariff Code

The Harmonized System (HS code) classifies goods so that customs officials know which taxes, duties and controls apply. This is not mandatory, but including the code can help speed up the customs clearance process.

Put an accurate value on your shipment

Even if the goods are only samples, gifts, or returns, they still have value, at least the cost of production. The stated values must be as accurate as possible. If customs officials doubt your judgment, your shipment could be delayed and subject to fines. As an additional tip, include a list of item values in the currency you specify on the invoice.

Country of origin

Describe the location of manufacture of goods. It may differ from the country of origin of delivery. Certain cases may require a Certificate of Origin. For further information regarding Certificates of Origin, please contact your local Chamber of Commerce.

Choose the right Incoterm

You must fill in the Terms of Sale (Incoterm) on all commercial invoices. Incoterms® 2010 is a worldwide recognized standard set by the International Chamber of Commerce. Incoterm allows customs officials to always identify the owner of the shipment during transit.

If you have a sales contract, it will mention Incoterm. If you do not have a sales contract, you must select one of the applicable Incoterms for your shipment by land or air. For example, DAP (Delivered at Place), means that as a shipper, you pay the shipping costs but the recipient is responsible for the taxes and duties.
